BCforward is currently seeking a highly motivated Administrative Assistant 3 for an opportunity in Redmond, WA- Hybrid!

Position Title: Administrative Assistant 3

Location: Redmond, WA-Hybrid

Anticipated Start Date: ASAP

Expected Duration: 1+ Month

Job Type: [FULL TIME [CONTRACT], [Hybrid]

Pay Range: [$25] - [$30]

Please note that actual compensation may vary within this range due to factors such as location, experience, and job responsibilities, and does not encompass additional non-standard compensation (e.g., benefits, paid time off, per diem, etc.).

Requirement:

1. Minimum 2+ years experience with recent experience in a Business Administrator role.

2. Minimum 2 years experience with previous knowledge of Outlook.

3. Minimum 2 years experience of excellent interpersonal, organizational, planning and time management skills.

Description:

  • The client is looking for a dynamic, fun, and energetic individual to provide stellar support for 2 GM's . This position requires the ability to take on a variety of roles, work in a fast-paced and dynamic environment, and show exquisite attention to detail.
To be successful, a viable candidate must have demonstrated ability to:

  • Support 2 GMs in a fast-paced environment.
  • Be self-motivated, have excellent communication and interpersonal skills, exercising sound judgment, tact, diplomacy, integrity, and professionalism always.
  • Possess an aptitude to work independently and be comfortable operating with ambiguity.
  • Multi-task and change direction in rapid response to a fluctuating work environment and make timely decisions.
  • Possess solid project-management and problem-solving skills.
  • Prioritize multiple projects with a positive attitude.
  • Anticipate and remove administrative roadblocks.
  • Achieve results with a high degree of accuracy and attention to detail.
  • Develop collaborative relationships with others who have a diverse set of working styles and perspectives.
  • Be an active member of the admin team, working on stretch goals, training, and participating in all team meetings and all hands.
Responsibilities include, but are not limited to:

GM Support

  • Proactively manage GM's calendar with the possibility of another GM, making decisions to prioritize requests based on shifting business priorities, allocating appropriate amount of time, and ensuring that all meeting details are accurate.
  • Manage/coordinate domestic and international travel plans and agendas end-to-end, including management of all logistics and itineraries.
  • Work with GM/s to set up meetings, morale events, rhythm of the business (ROB) activities and assist with projects as needed.
  • ROB calendar management
  • Prepare and process expense reports.
Business Support

  • Ensure compliance of administrative operational policies and procedures
  • Process expense report approvals for team members.
  • Manage headcount, recruiting and onboarding activities.
  • Maintain and manage HeadTrax transactions for vendors, CSGs and FTEs
  • Create and maintain org charts, distribution lists, office maps.
  • Assist in budget management (T&E, Training, Morale dollars), ensuring appropriate spending.
Team Support

  • Provide support to GM's team, as needed.
  • General team support for All Hands, offsites and morale events (logistics such as room reservation and catering) for GM's team
  • New employee setup
  • Procurement of goods and services, including computer equipment, office supplies, reference materials and facilities requests
Qualifications:

  • Excellent interpersonal, organizational, planning and time management skills. An ability to work independently, deal with ambiguity, and solve routine problems proactively and effectively. The aptitude for adapting to changing circumstances.
  • Exercise sound judgment, tact, diplomacy, integrity, and professionalism in all interactions. Possess a high level of self-awareness and intrinsic appreciation for the value that admins provide.
  • An aptitude to work independently without significant oversight or instruction to achieve results with a high degree of accuracy and attention to detail.
  • Work successfully in a team environment, building effective working relationships inside and outside of the group, accommodating work styles and perspectives of diverse individuals.
  • Proven track record of excellent judgment, problem resolution, teamwork, negotiation, budgeting and analytical skills, decision-making skills, and the ability to work under pressure required.
  • Strong communication skills, both verbal and written, are required.
  • Proficiency with client productivity software, including Word, Outlook, PowerPoint, Visio, Excel, OneNote, and SharePoint is required.
  • The ability to maintain confidentiality is vital.
  • Have a strong sense of urgency.
