Job Description
We are seeking an Administrative Assistant - Archive Assistant to join our dynamic team at the Division of Developmental Disabilities (DDD) Records Management Center. The ideal candidate will have strong experience in records handling, data entry, and Google Workspace, and a proven ability to maintain compliance with retention schedules, HIPAA, and applicable federal and state regulations.
Responsibilities:
- Organize, log, shelf, and maintain incoming files in a warehouse environment with minimal direction.
- Quality-check received records for compliance with retention schedules, HIPAA, and applicable regulations.
- Identify records for digitization, scan and digitize active and in-retention member records to standard, and assist with approved paper destruction.
- Retrieve records in response to requests, track outgoing records, ensure return, and reprocess for quality control and proper housing.
- Support Records Supervisor on special projects related to records storage and maintenance.
- Perform general office duties including filing, typing, operating and maintaining office machines, and data entry.
Required Skills & Qualifications:
- High School Diploma or equivalent.
- One year of experience handling records and performing data entry.
- Proficiency with computer applications, specifically Google Suite.
- Ability to read, understand, and apply laws and policies related to record retention schedules and HIPAA requirements.
- Strong organization, workload management, and prioritization skills with attention to detail.
- Ability to work independently and maintain collaborative working relationships.
- Ability to lift at least 50 lbs and bend/stand 35-45% of the time.
Preferred Skills:
- Familiarity with HIPAA requirements and records management in healthcare settings.
- Experience with records digitization, scanning equipment, and indexing standards.
