Job Description
We are seeking a Receptionist/Switchboard Operator to join our team on a part-time afternoon schedule. The role will include daily switchboard coverage, logistics support for the office floor, and dependable coverage during absences and vacations.
Onsite Schedule:
- Onsite Monday to Friday, 12:00 p.m. to 4:00 p.m.
- Flexibility to cover full-day or full-week schedules for absences and vacations.
Responsibilities:
- Cover one hour of switchboard daily and provide full-time coverage as needed during vacations.
- Answer, respond to, and transfer incoming calls efficiently to proper destinations.
- Run floor logistics, including distributing mail and maintaining, ordering, and stocking supplies.
- Post updates on building and employee boards and maintain effective communications in common areas.
- Order lunches and support set up and take down for meetings and employee engagement events.
- Assist with receiving catering orders, mail, and other deliveries with timely communication to employees.
- Maintain a professional lobby area and conference rooms and respond to routine inquiries.
- Handle sensitive information with discretion and maintain confidentiality.
Required Skills & Qualifications:
- High school diploma or GED.
- One year of experience in a corporate environment.
- Exceptional verbal and written communication skills with the ability to interact with diverse audiences, including senior executives and external stakeholders.
- Proficiency in Microsoft Office Suite: Word, Excel, Outlook, and PowerPoint.
- Ability to work with web-based and desktop applications, including phone changes and iPad visitor badging.
- Ability to lift over 25 lbs.
- Reliable availability to cover meal breaks for the main corporate receptionist and to support coverage needs.
Preferred Skills:
- Experience supporting front desk or switchboard operations.
- Event or meeting support experience.
