Position Title: Senior Administrative Associate
Location: South San Francisco, CA 94080
Duration: 6 months of contract
Pay Rate: $32.37/hr. on W2
Job Summary:
We are seeking a proactive and detail-oriented Senior Administrative Associate to provide high-level administrative and operational support to executive and senior staff members. The ideal candidate will be experienced in managing cross-functional collaboration, complex scheduling, internal and external stakeholder communication, and execution of department-wide initiatives and events. This role requires strong organizational, communication, and problem-solving skills, with a high degree of discretion and professionalism.
Key Responsibilities:
- Provide seamless and effective administrative support to executives and senior leaders.
- Collaborate with other administrative associates to ensure consistent and efficient support across departments.
- Coordinate and manage business forecasting deadlines, ad hoc projects, and departmental initiatives.
- Maintain and update distribution lists, organizational charts, shared team drives, and department resources.
- Manage complex calendars, scheduling across multiple time zones, and internal/external meeting logistics.
- Serve as a liaison with internal and external stakeholders, maintaining strict confidentiality.
- Plan and execute large-scale internal meetings, team offsites, webcasts, and other departmental events.
- Develop and distribute meeting agendas, presentations, and post-meeting materials.
- Oversee the upkeep of departmental platforms such as gSites, Spaces, websites, and newsletters.
- Support the full candidate and interview lifecycle including coordination with hiring managers and Talent Acquisition.
- Manage onboarding logistics for new hires (devices, welcome kits, orientation schedules).
- Plan team-building events, workshops, and symposiums; manage speaker contracts and vendor payments.
Required Skills & Qualifications:
- 5-7 years of administrative, operational, or project management experience; experience in the pharmaceutical/biotech industry preferred.
- Proven experience supporting senior leadership and managing high-stakes administrative tasks.
- Ability to multitask, prioritize independently, and execute responsibilities with minimal supervision.
- Highly collaborative and proactive team player; adept at working across multiple teams and functions.
- Strong judgment and discretion when handling sensitive and confidential information.
- Exceptional attention to detail with high standards for accuracy and documentation.
- Strong proficiency in Google Suite (Gmail, Calendar, Drive, Sheets, Slides), Microsoft Office (Word, Excel, PowerPoint), and collaboration tools (Zoom, Trello).
- Familiarity with client systems and organizational structure strongly preferred.
- Bachelor's degree (BS/BA) or equivalent relevant industry experience.
