Position: Senior Administrative Business Partner
Duration: 06 Month contract
Location: South San Francisco, CA 94080
Pay Rate: $36.65/hr on W2
Job Summary:
The Senior Administrative Business Partner (ABP) supports the PTQ Leadership Team, global PTQ teams, and the PTQ South San Francisco (SSF) community by coordinating and executing high-level administrative responsibilities. The ABP ensures smooth operations, effective communications, and seamless execution of events, meetings, and internal initiatives, contributing directly to the team's vision of All Value, Zero Waste, For Patients. This role may also act as a Primary Point of Contact (PPoC) for a leadership team member and cover responsibilities for other ABPs as needed.
Key Responsibilities:
Administrative & Operational Support
- Manage complex scheduling and calendars using Google Suite across multiple time zones.
- Create and maintain shared drives and internal collaboration platforms.
- Support contract and purchase order processing via MyBuy and DocuSign.
- Oversee departmental websites, newsletters, org charts, and internal documentation.
Event & Meeting Coordination
- Organize large internal meetings, webcasts, and team offsites involving logistics and travel planning.
- Handle pre- and post-meeting communications, agenda setting, material distribution, and follow-ups.
- Host external business partners and manage high-level communications on behalf of leaders or teams.
Stakeholder Engagement
- Build and maintain professional relationships with internal and external stakeholders while upholding confidentiality.
- Draft emails and communications on behalf of leadership or teams.
HR & Onboarding Support
- Coordinate interview logistics, candidate experience, feedback collection, and hiring documentation.
- Facilitate new hire onboarding (devices, orientation, events, etc.).
- Organize training sessions and team-building activities.
Qualifications & Skills:
- 5-7 years of administrative, operations, or project management experience, preferably in biotech/pharmaceuticals.
- Proven experience supporting senior executives or leadership teams.
- Strong knowledge of MyBuy, Google Suite, cSuite tools, and collaboration tools like Zoom, Trello, Gmail, gCal, etc.
- Ability to manage sensitive information with discretion.
- Demonstrates initiative, organizational efficiency, and attention to detail.
- Bachelor's degree or equivalent industry experience preferred.
- Familiarity with organizational structure is a strong plus.
