Job Description:

Job Summary:

The Event Manager (Contractor Role) serves as an Onsite Event Partner, providing full-spectrum planning and coordination support for large-scale campus events across South San Francisco site. With over 90 event spaces on campus, this role offers end-to-end service to internal stakeholders, akin to concierge-level support found in hotels or convention centers. This individual ensures seamless execution by aligning with internal departments and external vendors, enabling event hosts to focus on content, branding, communications, and engagement strategies.

Reporting to the Sr. Manager of Onsite Events and Experiences, this role is a key contributor to the broader Business Services team within Site Services, upholding the values of service, gratitude, and community.

Key Responsibilities

  • Serve as a single point of contact for internal event hosts, guiding them through event planning logistics and available resources.
  • Collaborate with cross-functional teams, including AV, Facilities, and Security, to coordinate event setup and execution.
  • Perform administrative tasks including preparing reports, maintaining documentation, and managing event logistics workflows.
  • Partner with AV teams to interpret client requirements and ensure successful technical execution.
  • Develop and distribute visual planning tools such as room diagrams, photos, and facility layouts to support event coordination.
  • Create and maintain comprehensive documentation for each event, including timelines, stakeholder notes, and service requirements.
  • Communicate clearly and professionally with all stakeholders, fostering a service-oriented environment.
  • Recommend and coordinate enhancements with third-party vendors (e.g., florists, musicians, branding consultants) to elevate event quality.

  • Experience working in a corporate or enterprise environment with employee-focused programs
  • Proficient in managing service ticket workflows and help desk platforms
  • Strong time management, multitasking, and organizational skills
  • Ability to learn and apply internal policies, standard operating procedures (SOPs), and event planning guidelines
