Position Purpose

Responsible for the overall coordination of office facilities and support services while delivering high-quality administrative assistance to the location. Ensures smooth daily operations, provides exceptional customer service, and supports community engagement activities within the WellCare of NC office.

Key Responsibilities

Facilities & Office Operations

  • Oversee storage, maintenance, and destruction of all company records on-site and off-site.
  • Coordinate office services and facility-related activities in partnership with management.
  • Serve as the on-site contact for Corporate IS and telecommunications teams to maintain effective telephone systems and troubleshoot issues.
  • Oversee maintenance of all office equipment, including computers, printers, copiers, and fax machines.
  • Participate as a key member of planning committees for new space development and renovation projects.
  • Assist management with troubleshooting and problem solving across departments.
  • Perform physical tasks as needed, including bending, crawling, or lifting up to 30 lbs.
Daily Building Management

  • Disarm security alarm and perform a morning walkthrough of the building; identify and report facility issues.
  • Execute front desk operations, greeting visitors and community members, and providing exceptional customer service.
  • Conduct an end-of-day walkthrough and set the alarm before closing.
Community Engagement & Member Support

  • Support community event preparation, including setup, cleanup, and coordination.
  • Participate in member outreach efforts, including calling campaigns to promote upcoming events.
  • Ensure accurate reporting on events and member interactions.

Education & Experience Requirements

Required:

  • High School Diploma or equivalent
  • 2+ years of experience in office coordination, facilities support, or similar administrative role
  • Basic equipment troubleshooting skills
  • Knowledge of office operations, procedures, and best practices
