Archivist Assistant
- Perform data entry into a computer-based index inventory system for active study records (e.g., protocols, raw data, etc.).
- Maintain active record storage, check-outs, and security.
- Ensure the transition, movement, and handling of records from Regulatory Sciences to the Archives.
- Scan records and upload them to an electronic database.
- Process documents efficiently to ensure timely flow to required parties.
- Maintain and process documentation in compliance with GLP standards.
- Serve as a backup archivist when necessary. (See Appendix for details.)
- Education: Associate's Degree required (Master's Degree is considered overqualified).
- Experience: Minimum of 4 years in a related subject area preferred.
- GLP Knowledge: Understanding of Good Laboratory Practice Standards (GLP) required.
- Regulated Environment Experience: Prior experience with quality management systems and document management (both physical and electronic) preferred.
- SOP Compliance: Ability to understand, follow, and implement SOPs, regulations, and other written guidance preferred.
- Strong organizational skills with high attention to detail.
- Ability to handle confidential information appropriately.
- Capable of working effectively and independently in a fast-paced, multi-tasking environment.
- Strong communication skills to build and maintain successful relationships.
- Ability to prioritize workload based on compliance requirements and departmental deadlines.
- Proficiency in MS Office Suite and Adobe applications.
- Strong customer focus and time management skills.
- Ability to resolve issues related to GLP standards with guidance from the GLP Archivist or supervisor.

- Maintain a computer-based index inventory system for accurate tracking and retrieval of GLP and non-GLP archived records.
- Ensure movement and handling of records in and out of the archives are properly controlled and documented.
- Manage customer requests for archived data.
- Ensure archiving processes meet regulatory requirements, including limited access and expedient retrieval.
- Retrieve and/or scan documents requested by government agencies.
- Receive and process physical data into the archives.
- Manage the Archive Inbox in the Archivist's absence, ensuring timely responses to emails and archiving requests.
- Coordinate receipt and verification of incoming Corteva study packages from Contract Research Organizations (CROs), including routing invoices as needed.
- Monitor archive environmental conditions and security access, resolving issues as necessary.
