- Prepare correspondence, reports, and documentation with accuracy and professionalism
- Maintain organized filing systems and track critical documents
- Provide backup telephone support and manage incoming/outgoing communications
- Process invoices, billing, and maintain related records
- Maintain inventory and order office supplies as needed
- Record meeting minutes and assist with scheduling and travel arrangements
- Support team with data entry and managing large volumes of paperwork
- Coordinate with shippers and other stakeholders via phone and email
- Perform other duties as assigned, supporting team and management priorities
- High school diploma or GED required
- Minimum 1 year of administrative or office support experience
- Prior experience in insurance, shipping/logistics, or regulatory environments is a plus
- Excellent verbal and written communication skills
- Strong attention to detail and ability to follow complex processes
- High comfort level with PC usage and multi-system navigation
- Proficiency in Microsoft Office, especially Outlook, Word, and Excel
- Ability to manage multiple priorities, pivot quickly, and meet deadlines
- Comfortable with PC-based phone systems
- Strong organizational and interpersonal skills
- Ability to work independently and within a team
- Standard office environment
- Must be able to work on a computer for extended periods
- Occasional lifting of office supplies or documents may be required
- Must be able to handle work-related stress and adapt to shifting priorities
