Administrative Associate
Position Title: Administrative Associate Locations: South San Francisco, CA 94080Expected Duration: 6 Months
Job Type: Contract with possible extensionPay Rate: $24.00/hr on W2
Position Overview:
We are looking for an experienced and detail-oriented Administrative Associate or Senior Administrative Associate to provide critical administrative support to our Drug Metabolism & Pharmacokinetics team. In this role, you will help streamline departmental operations, support senior directors, and ensure the efficient functioning of day-to-day activities. The ideal candidate will be highly organized, adaptable, and able to thrive in a scientific research environment.
Key Responsibilities:
Calendar Management:
- Manage and prioritize multiple Directors' calendars.
- Coordinate internal and external meetings, including in-person, virtual, and hybrid formats.
Meeting and Event Planning:
- Schedule and coordinate meetings, both onsite and offsite.
- Arrange catering and support on-site or virtual events.
- Prepare meeting materials, presentations, and logistical support for events.
Expense Reports and Purchasing Card Processing:
- Assist Directors with compiling, completing, and processing expense reports.
- Reconcile purchases using the company purchasing credit card and ensure timely processing.
Team Support:
- Provide backup coverage for the department's Principal Administrative Business Partner.
- Assist with administrative tasks and other functions for Research admins as needed.
- Demonstrate flexibility, adaptability, and a positive attitude while supporting team initiatives.
Visitor and Consultant Arrangements:
- Coordinate logistics for guest speakers/consultants, both domestic and international.
- Arrange travel, meetings, and processing of expenses.
- Handle special documentation requirements for healthcare provider visitors.
Office Management:
- Ensure the team has appropriate office equipment and supplies.
- Maintain up-to-date department roster, organizational charts, and email distribution lists.
- Coordinate office moves and conversions, streamline administrative processes, and handle miscellaneous requests.
Preferred Qualifications:
- Proven experience providing high-level administrative support to senior executives in a dynamic environment.
Educational Background:
- BS/BA degree, OR
- AA degree with 4 years of administrative experience, OR
- High School Diploma with 7 years of administrative experience or equivalent transferable skills.
Technical Proficiency:
- Strong experience with Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with web-based tools such as Google Mail, Calendar, Drive, Meet, Sheets, Zoom, and WebEx.
Communication Skills:
- Ability to draft professional correspondence and create presentation materials.
- Interact efficiently with all levels of staff and external contacts.
Confidentiality:
- Able to handle sensitive information with discretion and good judgment.
Self-Motivation and Organization:
- Capable of managing multiple tasks and projects independently while adapting to changing priorities.
- Strong organizational, problem-solving, and decision-making skills.
Team and Customer Orientation:
- Strong collaboration skills, with a focus on building relationships and providing excellent customer service.
Industry Experience:
- Background in the pharmaceutical or biotechnology industry, particularly in a research setting, is a plus.
