Job Description

We are seeking an experienced Administrative Assistant to join our dynamic team. The ideal candidate will have strong experience in Microsoft Office and SharePoint, travel and expense coordination, and a proven ability to support senior leaders and manage multiple priorities in a fast-paced environment.

Responsibilities:

  • Support SharePoint sites owned by functional leaders.
  • Manage calendars, including scheduling appointments and meetings for functional leaders.
  • Manage organizational announcements and internal distribution lists.
  • Handle sensitive and confidential information with discretion and integrity.
  • Organize and plan large meetings and events, including agenda development.
  • Act as a primary point of contact with internal and external stakeholders to ensure smooth workflow and communication.
  • Prepare and edit documents, presentations, and correspondence.
  • Manage expense reports for functional leaders.
  • Arrange domestic and international travel for functional leaders and support international travel for the extended team.
  • Coordinate, support, and oversee special projects as needed.

Required Skills & Qualifications:

  • Proficiency in Microsoft Word, Excel, PowerPoint, and SharePoint.
  • Experience managing travel and expenses; Concur experience preferred.
  • Ability to prioritize, multi-task, and work with a sense of urgency in a fast-paced environment.
  • Discretion in handling confidential information and strong attention to detail.
  • Collaborative mindset and ability to support a large group and partner with onsite administrators.
  • High School Diploma or GED.
  • Minimum 2 years of relevant administrative experience.

Preferred Skills:

  • Experience working in a global company.
  • Proficiency with Microsoft Teams, Power BI, and Concur.
  • Proactive problem-solving and continuous improvement mindset.

Schedule & Work Arrangement:

  • Weekly schedule: 40 hours. Shift: 8:00 a.m.-5:00 p.m. (flexible +/- 1 hour).
  • Hybrid schedule. Onsite Tuesday, Wednesday, and Thursday each week.
  • No driving required. No special equipment required.
