Target Start Date: 6/9/2025
Duration: 12 Months Contract
Pay Rate: $42.00/hr on W2
Job Description:
Position Summary:
We are seeking a highly organized and proactive Administrative Associate to provide effective and seamless administrative support to Managers and contribute to the smooth operations of our department. This role requires a detail-oriented individual with strong communication and problem-solving skills who thrives in a fast-paced, collaborative environment.
Key Responsibilities:
- Provide comprehensive administrative support to Managers and the team.
- Coordinate with other Administrative Associates to ensure seamless workflow.
- Proactively identify team needs and plan work accordingly.
- Manage complex calendars, schedules, and coordinate meetings and events (onsite and offsite).
- Prepare and disseminate professional documents and communications.
- Support departmental business planning and special projects.
- Assist with developing and improving administrative processes and procedures.
- Collaborate on cross-functional administrative projects and timelines.
General Office Responsibilities Include:
- Coordinate and schedule meetings and travel arrangements.
- Prepare presentations and meeting materials.
- Process expense reports and payments.
- Maintain organized filing systems (electronic and paper).
- Order office supplies, manage equipment maintenance, and arrange catering.
- Greet and assist visitors, distribute internal communications.
- Ensure compliance with company policies and procedures.
Qualifications:
- Education: BA degree or equivalent experience required.
- Experience:
- 4+ years in administrative roles, preferably in biotech or a similar industry.
- Demonstrated ability to manage multiple priorities and projects.
- Strong track record of proactive problem-solving and customer service orientation.
- Technical Skills:
- Proficient with PC/MAC platforms.
- Skilled in Microsoft Office and Google Workspace (Docs, Sheets, Slides).
- Interpersonal Skills:
- Strong communication and interpersonal skills.
- Ability to handle confidential and sensitive information with discretion.
- Team-oriented with the ability to work independently.
Additional Requirements:
- Must be comfortable and available to work onsite 5 days a week.
- Flexibility to support projects as directed by both Managers and team members.
- Ability to attend and contribute to team and administrative meetings.
