Job Type: Part Time/22.5 hours a week, CONTRACT, ONSITE
Purpose of Position/Summary:
Job Description:
Responsibilities:- Assist Operations Assistant with the sorting of all incoming mail and deliver to staff mailboxes; handle incoming package deliveries and outgoing shipments from the office via FEDEX, UPS, or other shipping service; handle mail posting machine including ensuring balance of postage on machine is kept current; post daily outgoing mail and occasionally take large mailings to Post Office
- Assist Operations manager and Legal Council with record retention work to introduce hard files to the cloud and dissolve physical files by use of external services
- Assist with gathering information and preparation of internal newsletter
- Provide administrative support needs, answering and directing phone calls to Operations as other departments when possible and assist with conference room reservations, schedule appointments, and meetings
- Greet all MAPC visitors to the 6th floor reception area, and make sure they are assisted in a prompt and professional manner
- Assist and maintain and prep all conference rooms for meetings and other functions including equipment, supplies, food service request, room prep and clean up
- Assist in maintaining all office supplies, cleaning supplies, kitchen supplies, and other miscellaneous items
- Assist with preparation for meetings and Agency outings both in-house and externally including prep and planning and day of activities, as well as administrative functions
Qualifications:
- Strong research skills and resourcefulness abilities
- Excellent professional phone manner, strong communication skills
- Extremely well organized and high attention to details
- Strong proficiency with Microsoft Office Professional suite andGoogle Suite
- Ability to type 55-60 words per minute.
- Strong written and verbal communication skills required
- Excellent problem-solving ability.
- Strong work ethic and able tomanage multiple tasks.
- Ability to work optimally in ateam environment.
- Proven interpersonal skills and ability to interact with all levels of management, internally and externally.
- Detail oriented with great accuracy.
- Some event planning experience will be beneficial to have.
- Ability to lift up to 50 pounds.
