Role Summary
We are seeking a Senior Administrative Business Partner to support our high-performing, fast-paced Therapeutic Areas Squad within the Commercial organization. This pivotal role is essential for driving operational excellence and ensuring the team is optimally positioned to achieve key business objectives.
Key Responsibilities
- Expertly manage complex calendars, schedules, and shared drives using Google Suite
- Seamlessly navigate Genentech IT systems (e.g., cSuite, collaboration tools)
- Maintain trusted relationships with internal and external stakeholders, demonstrating discretion and confidentiality
- Plan and coordinate mid- to large-scale internal meetings, team offsites, and virtual events requiring advanced technology support
- Manage logistics for external partner meetings, including preparation, execution, and follow-up
- Support meeting preparation, including developing agendas, taking notes, and tracking action items
- Draft internal communications on behalf of leadership and manage content on internal platforms (gSites, Spaces, newsletters)
- Oversee office logistics, including space planning and office moves, in coordination with administrative leads
- Coordinate recruiting activities such as candidate scheduling, hosting, and onboarding support
- Organize and manage team-building events, workshops, and training sessions
- Manage vendor and speaker engagements, including contracting and payment processing
- Maintain departmental org charts and contribute to ad hoc special projects
Functional Support
- Provide direct administrative support to senior leadership
- Coordinate key meetings and events (e.g., strategic planning sessions, field team meetings)
- Support contracting workflows and ensure timely execution of agreements
- Facilitate onboarding for new team members and ensure seamless integration into the organization
Required Qualifications
- 5-7 years of administrative, operations, or project management experience (pharmaceutical/biotech industry experience preferred)
- Demonstrated experience supporting senior executives and cross-functional teams
- Proactive, highly organized, and capable of managing multiple priorities independently
- Strong interpersonal and communication skills, with the ability to collaborate across teams
- Exceptional discretion and sound judgment in handling confidential information
- High attention to detail and commitment to delivering accurate, high-quality work
- Proficiency in Microsoft Office and Genentech's cSuite tools (e.g., gMail, gCal, gSheets, Trello, Zoom)
- Bachelor's degree or equivalent professional experience preferred
- Familiarity with Genentech's culture, systems, or environment is a strong plus
